Compliance Overview

Document Control

This radically streamlines procedure distribution and sign-off and employee training while increasing access to important health and safety information.

Document Emailing

It is possible to email out all controlled documents from iPassport QMS, this feature allows users to send information to inspectors (for example) prior to the inspection visit.
Unlike traditional document emailing, iPassport QMS sends a secure link within the email which allows the recipient to enter into the application in a very limited fashion, to view the record online.

The advantage of this is that the system monitors and records once the recipient of the email has logged into the system, and when they have viewed the document. It is also possible for the user to restrict the number of times the recipient may do this, either through logins or date restrictions thus, making the system extremely secure.

iPassport incorporates a flexible and dynamic checklist creation and monitoring facility. Users are able to define and write their own questions within the system, allowing each step within an audit to be fully documented. The checklist items can be “tasked” onwards and linked to supporting evidence, allowing laboratories to gather supporting evidence quickly and easily. And as the system allows you to link documentation of any file format, scanned records, PDF and spreadsheets can be linked as proof to demonstrate that you have completed your audit.

The Quality Management module allows you to monitor non-compliances and pass task actions onward to relevant staff for follow up. Users are immediately notified of these tasks when they logon to the system and separately through e-mail notifications. Non-compliance recording allows the user to quickly produce a list of outstanding non-compliances with any tasks associated to action them.
This ensures that all members of the quality management team are aware of tasks and upcoming actions in order to streamline the accreditation process. The Non-Compliance Overview facility ensures that all audit team members are notified of relevant non compliances, ready for action.

Incident Reporting

iPassport QMS provides users the ability to manage incidents within the Health Care Organisation, with incident reporting being conducted within the application it is simple for user to assign follow up actions. Once the incident reporting has been started, it neatly meshes with the other modules on iPassport QMS. An internal health and safety audit can be conducted to try and establish the root cause and if any trends exists. Tasks can then be assigned to staff members to ensure that the appropriate corrective actions are undertaken.

Thus incident reporting accompanied by a large amount of supporting information on the system, making the incident reporting itself a comprehensive data set. .

Audit creation and reporting is made simple within iPassport QMS with the ability to create and monitor both internal and external audits, both of these are then actionable making follow up and corrections simple.

Equipment & Materials

iPassport QMS allows users to manage complete COSHH records, logging reagents without COSHH record and notifying the relevant user when a COSHH record is due for review. The relevant MSDS can be linked to the COSHH record, and all existing COSHH records can be easily uploaded to the system. iPassport QMS then uses this information to help the lab produce a daily compliance overview, ensuring COSHH records are available to all relevant staff and that these records are never out of date.

iPassport QMS is a flexible tool allowing laboratory staff to have access to MSDS at all times, with a facility to search for the documents electronically. This saves staff time and improves the overall safety and efficiency of the laboratory, ensuring all relevant information is available to staff at the touch of a button. Staff no longer have to look up MSDS in a large manual or from the suppliers website. MSDS records can be linked to the relevant reagent or procedure so the information is readily available at all times.

Health & Safety Audits

iPassport QMS comprehensive auditing feature provides the option for unique health and safety audits to be generated. This allow users to design health and safety audit questions themselves, and demonstrate the appropriate level of due diligence within the health care organisation.
Health and safety audits have been developed to easily allow users to separate out the often difficult distinction between laboratory accreditation auditing and the important, but sometimes overlooked health and safety aspects.

Meetings Management

iPassport QMS allows users to create and document all meetings electronically. Invitations and confirmation of attendance can be sent electronically so meeting attendance can be easily tracked and monitored. Full Agendas and Minutes can be logged on the system, with follow up actions tasked onwards so that nothing is forgotten. This information is fully documented and can be linked to relevant standards, incidents, training and procedures to prove compliance and to maintain a formal record of all meetings in the health care organisation.

Laboratory Management

iPassport QMS has a comprehensive laboratory management module, allowing staff and quality managers alike to have access up to date information at the touch of a button. The laboratory management module allows the laboratory to easily manage SOPs, Policies and relevant Documents. The module also includes Incident Management, ensuring incidents are logged, relevant staff are notified and that follow up (including additional training) is performed. Comprehensive records can be maintained for Reagents, while also creating relevant COSHH records or linking the appropriate MSDS. Materials used in the Health Care Organisation can also be managed on the system.
